Keep the shared roster limited to what coaches need at a glance. Sensitive contact and medical information stays in the school's secure file, referenced but never copied onto a sheet that travels to the gym.

Player name and jersey number

Keep the full name and the number the player actually wears in games, so scorebooks, film notes and attendance records all match.

Grade or class

Grade level helps with eligibility checks, level assignments, transportation lists and planning who returns next season.

Position and role

Record the primary spot plus any secondary role, so absences immediately show which parts of practice need adjusting.

Roster status

Active, limited, injured, academically ineligible or separated from the team — one status column prevents confusion later.

Contact and emergency information reminder

Note only that a completed form is on file and where it is stored securely. Never post phone numbers, addresses or medical details on a shared or public sheet.

Mark present, absent, excused or late for every practice on the same day it happens.

Game attendance and availability

Separate being present from being available to play; an injured player at the bench is present but unavailable.

Excused vs unexcused absences

Use a clear definition agreed in advance — academics, family, illness and school events versus no notice at all.

Late arrivals and early departures

Record the time and the reason. Repeated partial attendance affects conditioning and execution even when the player is never fully absent.

Injury or limited participation

Note limited status and what the player was cleared to do, so practice plans and return-to-play steps stay realistic.

Notes and follow-up

One short line: what happened, who was told and whether a conversation with the player, a parent or a teacher is still owed.

Habits that keep the record fair

Attendance records only settle disagreements when they were kept the same way for everyone, every day.

  • Set attendance expectations in writing before the first practice and review them with players and families.
  • Record attendance the same day, at the same moment in the routine, rather than reconstructing it a week later.
  • Document exceptions when they happen — a note written in the moment is fair to the player later.
  • Look for patterns rather than reacting to single days: three late arrivals in two weeks is information, one is not.
  • Communicate early and privately when a pattern appears, before it becomes a playing-time dispute.
  • Keep the season's records in one organized place so eligibility, awards and end-of-season reviews are simple.

Read attendance trends over the season

A single absence is a scheduling problem. A repeated pattern usually points to transportation, academics, health, work or something happening away from basketball — and it is far easier to help early than to react at the end of the season.

Weekly review

Scan the week for missed practices, repeated lateness and limited-participation days. Handle anything that needs a conversation before the next game.

Monthly review

Compare participation across the roster, check whether absences cluster around certain days, and confirm your records match the scorebook and eligibility lists.

Read attendance alongside communication, effort, development and the team expectations you set in preseason. Participation shows how available a player has been; it is not by itself a complete picture of the player.
